Privacy Policy

Governing the AEOS QUANTUM™ enterprise intelligence platform operated by AexoreX Systems LLC at app.aeosq.com.

1. Scope and Purpose

This Privacy Policy describes how AexoreX Systems LLC ("AexoreX", "we", "us", or "our") handles information in connection with AEOS QUANTUM™, the enterprise intelligence operating platform accessed at app.aeosq.com (the "Platform"). This Policy applies to the authenticated product environment. It is distinct from the corporate website of AexoreX Systems LLC and from any marketing materials describing the Platform, which may be subject to separate notices.

AEOS QUANTUM™ is a business-to-business product. Organizations grant access to authorized users, and those users operate the Platform within organization- and workspace-scoped boundaries established by their organization.

2. Categories of Information

We distinguish between the following categories of information handled through the Platform. Not all information handled through the Platform is personal information.

Account Data. Information about an individual authorized user, such as name, email address, authentication identifiers, organization and workspace membership, assigned role, account status, and security-related events associated with the account.

Enterprise Data. Data submitted, configured, stored, or processed by an organization through the Platform, including organizational and workspace information, business processes, knowledge and documents, configuration, Digital Labor™ definitions, skill systems, workflow configuration, governance and approval records, operational metadata, enterprise context, and other customer-controlled content. Enterprise Data is controlled by the organization that submits it and may or may not contain personal information, depending on what the organization chooses to submit.

Technical Data. Information generated through operation of the Platform, such as IP address, browser and device information, timestamps, authentication events, application logs, security events, error information, and performance information.

3. Information We Process

In the course of providing the Platform, we may process the following information:

  • Account information: name, email address, authentication identifiers, and account status.
  • Organization and workspace information: organization names, workspace names, membership, roles, and scope configuration.
  • User identity and access information: sign-in events, session identifiers, role assignments, and access-control decisions.
  • Enterprise configuration: module, workflow, and governance configuration set by the organization.
  • Digital Labor™ configuration: digital labor definitions, levels, skill systems, operating profiles, and lifecycle state configured by the organization.
  • Knowledge and Memory data: knowledge records, context, and memory artifacts submitted or configured by the organization.
  • Workflow and governance records: drafts, revisions, submissions, approvals, and related lifecycle records.
  • Audit and security information: append-only audit records, authentication events, and security-relevant events.
  • Usage and technical information: logs, timestamps, device and browser information, error reports, and performance information.
  • Data processed through connected services: information exchanged with services an organization chooses to connect to the Platform.

4. Our Role in Processing

Depending on the nature of the relationship and applicable law, AexoreX Systems LLC may process customer-provided information on behalf of an enterprise customer or process certain information for its own legitimate business purposes, such as operating, securing, and improving the Platform, managing accounts, and meeting legal obligations.

Where an enterprise customer determines what information is submitted to the Platform, that customer is generally responsible for ensuring that its collection practices and processing instructions are lawful and that required notices are provided to its personnel, customers, or other data subjects.

5. AI and Intelligent Processing

AEOS QUANTUM™ may use artificial intelligence and machine-learning technologies to process information submitted or configured by customers for purposes such as reasoning, classification, summarization, knowledge retrieval, workflow assistance, Digital Labor™ configuration, and operational intelligence.

AI-related processing is subject to the applicable service configuration, contractual commitments, and, where third-party AI providers are involved, the applicable provider terms. We do not represent in this Policy that customer data is never processed by AI providers, nor that customer data is never used for model training; such matters are governed by the specific agreements and configurations applicable to a customer's deployment.

6. Enterprise Data Control

Enterprise customers retain control over the information they submit to the Platform, subject to contractual arrangements, applicable law, legitimate operational requirements, security requirements, backup and continuity requirements, and legal obligations.

Customers manage their own users, roles, and workspace access, and may modify or remove Enterprise Data through Platform controls where those controls are provided. Deletion through Platform controls does not guarantee immediate removal from all systems, including backups and audit records maintained for security and continuity purposes.

7. Multi-Tenant Environment

The Platform is designed around organization and workspace boundaries. AEOS QUANTUM™ applies organization- and workspace-scoped authorization controls designed to restrict access to information according to the user's authorized organizational context.

Access to Enterprise Data is limited to users authorized within the relevant organization or workspace scope, as configured by the enterprise customer and enforced by the Platform's authorization architecture.

8. Service-Provider Processing

The Platform may rely on infrastructure, hosting, authentication, communications, analytics, payment, artificial-intelligence, and other service providers as necessary to operate the service. These providers process information only as needed to deliver their services to us and are subject to applicable contractual obligations.

9. International Data Transfers

AexoreX Systems LLC is a United States company, and the Platform is operated with infrastructure that may process information in the United States or other jurisdictions where our service providers operate. By using the Platform, you understand that information may be transferred to, stored in, and processed in jurisdictions that may have data protection laws different from those of your jurisdiction. Where required, we address international transfers through applicable contractual mechanisms.

10. Data Retention

We retain information for as long as reasonably necessary to provide the service, maintain security, comply with legal obligations, resolve disputes, enforce agreements, maintain legitimate business records, protect the Platform, and maintain backups and continuity systems.

Where deletion is requested or an account is terminated, certain information may remain for a limited period where required for legitimate operational, security, legal, or backup purposes, after which it is removed in the ordinary course of system operations.

11. Security Safeguards

We implement administrative, technical, and organizational measures designed to protect information against unauthorized access, alteration, disclosure, or destruction. These measures include tenant-scoped authorization controls, role-based access, authentication controls, and audit logging.

No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Customers are responsible for maintaining the confidentiality of their own credentials and for configuring access appropriately.

12. U.S. State Privacy Rights

Depending on applicable thresholds and the nature of the individual's relationship with AexoreX, certain rights under U.S. state privacy laws — including laws in California, Virginia, Colorado, Connecticut, Utah, and other states — may apply.

Where applicable, these rights may include the right to request access to personal information, correction of inaccurate personal information, deletion of personal information, portability of personal information, an appeal of a decision on a privacy request, the ability to opt out of certain processing, and protection against discrimination for exercising privacy rights.

We do not sell personal information for monetary consideration. If you are an authorized user whose information was submitted by an enterprise customer, we may direct your request to that customer, as the customer controls the relevant Enterprise Data.

13. Enterprise Customer Data Rights

Enterprise customers may request access to, export of, or deletion of their Enterprise Data through the Platform's administrative controls or by contacting us. Such requests are handled subject to the applicable agreement, legitimate operational requirements, security requirements, and legal obligations.

14. Account Termination and Deletion

When an account is terminated or an enterprise relationship ends, information associated with the account or organization is handled in accordance with the applicable agreement and our retention practices. Certain records — including audit, security, and governance records — may be retained for a limited period where required for legitimate operational, security, legal, or continuity purposes.

15. Enterprise Customer Responsibilities

Enterprise customers are responsible for:

  • Determining what information they submit to the Platform.
  • Ensuring they have appropriate rights and lawful bases to submit that information.
  • Configuring organization, workspace, role, and access settings appropriately.
  • Managing their users, roles, and scope assignments.
  • Complying with laws applicable to their own processing activities.
  • Providing required notices to their personnel, customers, or other data subjects where appropriate.

16. Cookies and Similar Technologies

The Platform uses technologies necessary to provide the service, including authentication and session technologies, security-related storage, and technologies essential to application functionality. We do not describe the Platform as free of tracking technologies; the technologies in use are those required to operate, secure, and maintain the authenticated product environment.

17. Children

AEOS QUANTUM™ is intended for enterprise and professional use and is not directed to children. We do not knowingly collect personal information from children through the Platform. If you believe a child has provided personal information through the Platform, contact us using the information below.

18. Privacy Requests

To exercise privacy rights or submit a privacy-related inquiry, contact us at ceo@aexorex.com. We may need to verify your identity and, where your information is controlled by an enterprise customer, we may refer your request to that customer. Where applicable law provides an appeal process, you may appeal a decision on a request by replying to our response.

20. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in the Platform, our practices, or applicable law. The current version is posted at this address with its effective date. Material changes may be communicated through the Platform or by other reasonable means. Continued use of the Platform after an update takes effect constitutes acknowledgement of the updated Policy, except where applicable law requires a different form of consent.
